1. Feature overview

Cross-organization approval lets you initiate Approval processes with external organizations, addressing the needs of enterprises and government-enterprise entities in management, communication, Collaboration, and business chains. It helps organizations better Connect with their suppliers, distributors, platform merchants, and other business partners.

  • The Organization has external users, such as suppliers, who need to initiate approvals for internal users to process.
  • Other scenarios that require cross-organization approval.

1. Employees invite external users to join

Open Customer Profile

On DingTalk mobile, the Employee goes to Workbench > OA Approval > [More] in the bottom-right corner > [cross-organization approval] > [Customer Profile]:

Invite external users of the Organization

Tap [Invite external users of the Organization]. You can invite external users to fill in their profile by Sending a QR Code, Sharing to DingTalk, or Copying the Link:
On the Customer Profile page, tap Invite external users of the Organization to generate an invitation page that can be sent as a QR Code, Shared to DingTalk, or copied as a Link

External user scans and authorizes

The external user scans the QR Code with DingTalk mobile or taps the Link to open the Form submission Page, taps [Re-authorize], and agrees to share basic information such as DingTalk Name and Profile Photo and to receive pushed messages from the OA Approval Assistant service account:

Fill in the profile and submit

Fill in the information and tap [Submit]:
External user fills in profile details such as customer name, address, Contact, and Phone number, and taps Submit

2. External users initiate approvals; internal users process them

Share the Form with external users

On DingTalk mobile, the Employee goes to Workbench > OA Approval > [More] in the bottom-right corner > [cross-organization approval] > [Initiate Approval] > selects a Form > Shares the Form with external users:

After selecting a Form such as Customer Ticket, generate a QR Code to Share with the external user:
On the Initiate Approval page, select the Customer Ticket Form to generate a sharing page with a QR Code that can be Sent, Shared to DingTalk, or copied as a Link

External user fills in and submits the ticket

The external user scans the QR Code with DingTalk mobile or taps the Link to open the ticket submission Page. The system automatically matches the external user’s Customer Profile. After filling it in, tap [Submit] and wait for internal users to process it:

Receive approval progress alerts

The OA Approval Assistant pushes approval progress alerts to the external user:

3. Internal users initiate approvals; external users process them

Initiate the approval and fill in the Form

On DingTalk mobile, the Employee goes to Workbench > OA Approval > [More] in the bottom-right corner > [cross-organization approval] > [Initiate Approval] > selects a Form > taps to fill it in:

In the Initiate Approval List, select a Form such as Customer Delivery Confirmation and tap to fill it in:

Select the Customer Profile

Open the Form submission Page and Select the Customer Profile:
On the Form submission page, tap the Customer Profile Field and select the target customer from the My Customer Profiles List

Fill in the details and submit

The external customer shown in the process is the one you selected. Fill in the information and tap [Submit]:

External customer processes the approval

The external customer will receive an approval processing notification from the OA Approval Assistant. Wait for the customer to finish processing:
The external customer receives a Delivery Confirmation approval notification in the OA Approval Assistant, with options to Accept or Decline

External supplier confirms order
