1. Feature overview

DingTalk multi-time zone clock-in supports Time Zone switching for fixed shift attendance, shift-based attendance, and flexible working hours attendance groups, along with multi-time zone conversion for statistics and attendance approvals. It records and centrally manages clock-in Data for Employees across multiple time zones and delivers accurate attendance results.

2. Use cases

A consulting Company forms a temporary project Team with Users from Beijing, Singapore, Dubai, and London. The project runs for three months and requires coordinated scheduling across multiple locations. How to use it:
  • Assign the corresponding Time Zone to each project Team User in the attendance system.
  • Set project-specific scheduling rules that support task clock-in at different times.
  • The system automatically generates attendance reports with time zone information for the project manager’s reference.
  • For overtime or night shift tasks, the system automatically detects and calculates the overtime duration in the corresponding Time Zone.

3. Steps

Create an attendance group and select a Time Zone

Open DingTalk desktop > Workbench > Attendance > Attendance Group Management > Add Attendance Group > Attendance Group Time Zone, and select a Time Zone for the attendance group. Once the attendance group is created, its Time Zone cannot be changed.

To choose an overseas address as the attendance location, switch to Google Maps and select it there.
About attendance results: Attendance results are calculated by comparing the Time Zone set for the attendance group with the time points defined for the shift. Note that shifts themselves do not carry Time Zone information. Once a fixed shift or scheduling is set, Employees must clock in and out at the shift’s designated times in the Time Zone of their attendance group.

Employees clock in within the attendance Time Zone

Once the attendance group is created, Employees can clock in from their mobile device.
  1. Employees can clock in only when their mobile Time Zone matches the attendance Time Zone of their attendance group.
  2. If the two do not match, the message “The current Time Zone does not match the attendance Time Zone. You cannot clock in” appears. For example, the mobile Time Zone is GMT+8:00 while the attendance group Time Zone is GMT+3:00.
If you see this message, try the following:Adjust the Time Zone in your mobile system Settings to match the attendance Time Zone.To clock in overseas (outside the GMT+8 region), adjust the Time Zone Settings of the attendance group, or create a new overseas Team and Select the corresponding overseas Time Zone as the Region.

Admins view attendance reports

Note: When the Admin’s Time Zone differs from the attendance Time Zone of the clocking-in Employee, the system automatically labels the Time Zone used at the time of clock-in.

Summary report example

As shown in the figure, the attendance time 18:00 refers to 18:00 in the GMT+9 Time Zone. When the Admin’s Time Zone differs from the Employee’s Time Zone, a Time Zone label is displayed.

Attendance and leave requests support multi-time zone conversion

To help Employees and approvers in different time zones handle leave requests more easily, Approval forms support multi-time zone information.
Leave request example:
  1. Employees fill in the request based on the actual time in their own Time Zone.
  2. After submission, the Approval form displays the Time Zone information of the request time, making it easier for approvers in other time zones to process it.
