Attendance group

You can set up three types of attendance groups: fixed shift attendance, shift-based attendance, and flexible working hours. The setup paths are as follows:

How to set up a fixed shift attendance group

  1. Mobile: As Admin, go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Add attendance group > Attendance type, and select Fixed clock-in and clock-out time. Fill in the remaining fields as prompted on the page.
  2. Desktop: As Admin, go to Desktop DingTalk > Workbench > Attendance > Attendance group management > Add attendance group > Attendance time > Settings > Attendance type, and select Fixed clock-in and clock-out time. Fill in the remaining fields as prompted on the page.

How to set up a shift-based attendance group

  1. Mobile: As Admin, go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Select the attendance group > Scheduling to open the scheduling page. Select day-by-day scheduling, choose the corresponding shift, and save the settings.
  2. Desktop: As Admin, go to Desktop DingTalk > Workbench > Attendance > Scheduling management > Select the attendance group > Scheduling, follow the on-page prompts to schedule shifts, and save the settings.
If your shift pattern is fixed (for example, two days on and one day off, or five days on and one day off), you can configure a scheduling cycle to schedule shifts more efficiently. For details, refer to Scheduling cycles.

Flexible clock-in and clock-out time

  1. Mobile: As Admin, go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Add attendance group > Attendance type, select Flexible clock-in and clock-out time, fill in the remaining fields as prompted, and save.
  2. Desktop: As Admin, go to Desktop DingTalk > Workbench > Attendance > Attendance group management > Add attendance group > Attendance type, select flexible working hours, fill in the remaining fields as prompted, and save.
You can set the daily attendance start time, which defines when a new attendance day begins.
Set up a fixed shift attendance group for office staff, and set up a separate flexible clock-in and clock-out time attendance group for field employees. Enable field clock-in in the field employees’ attendance group.
You can set up a scheduling cycle. As Admin, go to Desktop DingTalk > Workbench > Attendance > Scheduling management > Scheduling settings > Cyclic scheduling > Add cyclic scheduling > Days per cycle, and configure it as needed.
As Organization Admin, go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Select the attendance group > Scheduling to open the scheduling page. Select day-by-day scheduling, choose the corresponding shift, and save the settings. If scheduling shifts in advance is inconvenient, enable Let employees choose a shift when unscheduled and preset a few shifts for employees to pick from. Path: Mobile DingTalk > Workbench > Attendance > Settings > Global settings > tap the shift-based attendance group > Edit attendance group > Scheduling settings > turn When unscheduled, let employees select a shift to clock in on or off.
Desktop: First, set up your attendance shifts (create one shift per specific work time; for details on shift configuration, refer to how to set up shifts in 2. Shifts). After completing the shift setup, follow this path: As Admin, go to Desktop DingTalk > Workbench > Attendance > Attendance group management > Add attendance group > Attendance time settings > Attendance type > Shift-based, complete the attendance details, save, then open scheduling and finalize the schedule.

Shifts

Follow these paths to set up shifts:
  1. Mobile: As Admin, go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Shift management > Add shift, or tap the Edit button next to an existing shift to edit it. If you already have an attendance group, tap Enter attendance group, then tap Attendance time to edit the shift.
  2. Desktop: As Admin, go to Desktop DingTalk > Workbench > Attendance > Shift management > Add shift to add a new shift (click Edit next to a shift to modify it, or click Delete to delete it).
Go to Desktop DingTalk > Workbench > Attendance > Settings > Global settings > Shift management > Add or edit existing shift.
Day shifts and night shifts are simply different shifts with different times. Set up the shifts first, then adjust the times. Shift setup path: Go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Shift management > Add shift.
For shift-based attendance, the primary owner of the attendance group or a secondary owner with scheduling permissions can reschedule shifts and mark the 10th of last month as a rest day. Path: Go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Select the attendance group > Scheduling, and change it to a rest day.
Create a new shift in shift settings, then add it to the current attendance group that needs the change. Path to create a new shift: As Admin, go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Shift management > Add shift, then tap the corresponding shift-based attendance group > Scheduling and reassign the shift.

Scheduling

Attendance groups fall into three types: fixed shift attendance, shift-based attendance, and flexible working hours. Fixed shift attendance groups do not support scheduling. You can either change the attendance group type or add a new shift-based attendance group. To change the attendance group type, follow these paths:
  1. Mobile: As Admin, go to Mobile DingTalk > Workbench > Attendance > Settings > Global settings > the attendance group > Attendance type to review and switch the type.
  2. Desktop: As Admin, go to Desktop DingTalk > Workbench > Attendance > Attendance group management > Edit the attendance group > Attendance time > Settings > Attendance type to review and switch the type.
After changing the attendance type, previously configured special clock-in date data cannot be restored.
Set the department manager as the attendance group owner. They can then schedule shifts via this path: Mobile DingTalk > Workbench > Attendance > Settings > Global settings > Select the attendance group > Scheduling. Open the scheduling page, select day-by-day scheduling, choose the corresponding shift, and save the settings.
