A: Knowledge Base is fully available. No application is required. Access it through the following paths: On the DingTalk mobile app, tap More at the bottom, then go to Docs > Knowledge Base. On the DingTalk desktop app, go to Docs > Knowledge Base.

Q: Can documents in Knowledge Base be shared?

A: Documents in Knowledge Base can be shared with users inside or outside your organization. To share a document:
  1. On the DingTalk mobile app, tap More at the bottom, then go to Docs > Knowledge Base. Tap the target knowledge base, open the document, tap the icon in the upper-right corner, and tap Share. You can share the document as a long image, QR code, link, or by sending it to a chat.
  2. On the DingTalk desktop app, go to Docs > Knowledge Base. Open the target document and click Share in the upper-right corner. You can share the document as a link or by sending it to a chat.

A: Knowledge Base is a professional and efficient enterprise knowledge management platform developed by Alibaba Group. It helps organizations build a knowledge management hub and enables internal document collaboration. It is simple and easy to use. After an admin creates a knowledge base and adds users, multiple people can share it with real-time syncing. Team members can use it to record all content produced through internal collaboration. Tips:
  1. Personal users: Knowledge Base is not available. The page prompts users to join or create an organization.
  2. Organization users: Create a knowledge base and add team members to collaborate on building it and accumulating organizational knowledge.

Q: Which file formats can be imported into Knowledge Base as online documents?

A: Knowledge Base supports the following file formats (up to 20 MB per file): .docx, .xlsx, .doc, .xls, .txt, .xmind, .markdown, .mark, .md. To import a file, on the DingTalk desktop app, go to Docs > Knowledge Base, open the target knowledge base, click + > Import as online document, then select and import the file.

Q: How do I set permissions for Knowledge Base users?

A: Knowledge base admins can assign permissions to users. The available permissions are: Can manage, Can edit, Can view/download, Can view only, and Set as owner. Permission details:
  1. Can manage: Edit, upload, download, and delete.
  2. Can edit: Edit, upload, and download.
  3. Can view/download: Download, copy, and print.
  4. Can view only: Preview online only. Copying and downloading are not allowed.
  5. Set as owner (desktop only): Transfer ownership to another user.

Q: Can deleted documents in Knowledge Base be restored?

A: Yes. Deleted documents are moved to the Recycle Bin. To find them, open the target knowledge base and click the Recycle Bin icon in the lower-left corner. Tips: You can Restore files in the Recycle Bin or Permanently delete them.

Q: Does Knowledge Base take up DingTalk Drive storage?

A: No. Online documents in Knowledge Base do not take up DingTalk Drive storage.

Q: Can Knowledge Bases be moved?

A: Users with edit permission for a knowledge base can move documents from it to another knowledge base within the same organization. Moving an entire knowledge base into another one within the same organization is not supported. Moving a knowledge base across organizations is also not supported. Tips: This action is currently supported on the desktop app only and is not available on the mobile app. To move a document, in the left table of contents, click the icon next to the target document, then select Move to > target location > Move.

Q: Is Knowledge Base free?

A: Yes. Knowledge Base is currently free to use.

Q: How do I view the editors of a knowledge base?

A: The top of each knowledge base document displays the editors (all users who have edited the document), the last update time, and the number of readers (with details of each reader).
