When you need to move a document from one Knowledge Base to another, the document’s Collaborators and Permissions settings change accordingly. The details are as follows:

1. Changes to Collaborators

Collaborators of a document can be automatically synced from the parent directory or added individually. When you Move a document (or Folder):
  • Collaborators automatically synced from the parent of the original Location are removed.
  • After the move, Collaborators are re-synced from the parent of the target Location.
  • Collaborators added individually to the document by users are retained.

Example:

The document “Release Notes” is moved from the “Sales Knowledge Base” to the “Customer Service Knowledge Base”. The Collaborators of the document change as follows:

Before the move

Location: Sales Knowledge Base / Release NotesCollaborators of this document:Sales Manager Wang (inherited from the “Sales Knowledge Base”)Technical Lead Zhang (added individually by a user)

After the move

Location: Customer Service Knowledge Base / Release NotesCollaborators of this document:Sales Manager Wang (synced from the “Sales Knowledge Base”) Collaborators automatically synced from the original Location are removedCustomer Service Manager Li (synced from the “Customer Service Knowledge Base”) After the move, Collaborators are re-synced from the parent of the target LocationTechnical Lead Zhang (added individually by a user) Collaborators added individually to the document by users are retained

2. Changes to Permissions settings

The Admin of a document can Configure the document’s own Permissions settings. At the same time, the document’s Permissions settings are also controlled by the parent directory. For specific Settings, refer to: Permissions Settings | Document Permissions Settings Guide. When you Move a document (or Folder):
  • The Permissions controls from the parent of the original Location no longer apply.
  • The document’s own Permissions settings are retained.
  • After the move, the document is subject to the Permissions settings of the parent of the target Location.

Example:

The document “Release Notes” is moved from the “Sales Knowledge Base” to the “Customer Service Knowledge Base”. The Permissions settings of the document change as follows:
