01 Create an event

Quick Meeting is integrated with DingTalk Events. After creating a meeting event, enter Quick Meeting through the “Create Notes” entry to organize the meeting more easily. When the meeting is in progress, this entry is renamed “Edit Notes.” After the meeting ends, the entry changes to “View Notes” based on the meeting status. ▲ Entry: Events → Create Event → “Create Notes” on the event card to enter Quick Meeting.

02 Quick recap

The purpose of a quick recap is to swiftly and accurately review conclusions from the previous meeting or follow up on outstanding to-dos. ▲ Entry: Quick Meeting page → “Quick Recap” module → click “Import To-Dos” → select the document content containing the to-dos you want to import, and the to-do items in that document will be synced.

03 Submit agenda items

Unclear meeting goals or agenda items? With Quick Meeting, attendees can sync materials and submit topics in advance. Agenda materials support multiple text formats, such as tables, mind maps, videos, images, and addresses, making meetings more efficient. ▲ Entry: Quick Meeting page → + Add Agenda → click “Standard Topic” to create a new topic.

04 Time-box agenda items

A one-hour meeting that drags on for three hours? With Quick Meeting, the host can set a share duration for each topic in advance. During the meeting, start a countdown, and a sound alert will play four seconds before time is up. After the meeting, you can also highlight overruns. ▲ Entry: Quick Meeting page → agenda panel on the right → click the time → set duration for the current topic.

05 Start Quick Share

Once the host starts Quick Share—and before enabling “All Follow”—every attendee can browse freely and co-edit across screens, independent of the host’s reading progress. This breaks the limitation of traditional screen casting, which only supports display. ▲ Entry: Quick Meeting page → click Present → share the current content.

06 Become a co-presenter

Quick Share allows attendees to become co-presenters. When multiple people present the same document, choose to take over as the presenter without reloading the document, keeping the meeting flowing and speakers’ inspiration unbroken. ▲ Entry: During the meeting, an attendee clicks “I’ll present” → click Confirm to become the presenter.

07 Convert local files or live streams to AI Minutes

AI Minutes supports uploading local files and live-stream replays for audio-to-text or video-to-text conversion. ▲ Entry: From the left navigation bar of the DingTalk chat window, go to Meeting → click DingTalk AI Minutes → click Import File to import a local file for AI Minutes conversion.

08 Generate to-dos

No conclusions or follow-ups after the meeting? With Quick Meeting, you can create to-do items during the meeting, assign owners for post-meeting follow-up, set due dates, mark urgency levels, and remind owners. 10 Save to Knowledge Base

Documents from meetings held with Quick Meeting can be exported and uploaded to the DingTalk Knowledge Base for future reference or review, and they make it easier to perform a quick recap at the next meeting on the same topic. ▲ Entry: On desktop, open the Quick Meeting page → click ”…” in the top-left corner → select Add Link to the corresponding Knowledge Base to save the meeting document to the Knowledge Base.
