This article explains what approval comments are.

Feature Overview

Approval comments apply when an approval process has been initiated and reaches an approver or executor node. If the approver or executor has questions or opinions about the process, they can add approval comments and send notifications within the approval.
  • One-click notification to all approvers, CC recipients, and participants in the workflow.
  • Quick reply supported. Quick reply phrases include Confirm, Received, Confirmed, and Thanks for your effort.
  • Emojis, images, and attachments can be added to comments. Each image or attachment can be up to 20 MB in size.

Case Description

The following workflow case explains which users are considered approvers, CC recipients, and participants in approval comments.

First, design a workflow diagram with the following structure

After the workflow design is complete, Visitor 02 initiates the workflow. The workflow runs as follows:

At this point, the approvers, CC recipients, and participants in the workflow are:
  • Workflow approvers: Visitor 888, Visitor 111, Visitor 114, Visitor 102, and Visitor 103.
  • Workflow CC recipients: Visitor 121.
  • Workflow participants: Visitor 888 (approval), Visitor 111 (approval), Visitor 114 (approval), Visitor 102 (approval), Visitor 103 (approval), Visitor 121 (CC), Visitor 105 (transfer), and Visitor 02 (initiator).

Case Analysis

  • At node ①, Visitor 888 performed the Accept action, while Visitor 119 and Visitor 59 took no action. Therefore, Visitor 119 and Visitor 59 are neither workflow participants nor workflow approvers.
  • At node ②, Visitor 105 transferred the approval to Visitor 111. Visitor 105 is a workflow participant but not a workflow approver, while Visitor 111 is both a workflow participant and a workflow approver.
  • At node ⑥, since none of the approvers took any action, they are not workflow participants.
  • At node ⑦, since the workflow has not yet reached node ⑦, its users are neither workflow participants nor workflow approvers.
