Customer overview

  • Founded in 1999 in the Inner Mongolia Autonomous Region and headquartered in Hohhot, China Mengniu Dairy Company Limited is one of the world’s top eight dairy enterprises, a key national agricultural industrialization enterprise, a leading player in the dairy industry, and a top dairy supplier in China.
  • Mengniu offers a wide-ranging product portfolio that is popular in the market, including liquid milk, ice cream, milk powder, and cheese.
  • Internally, Mengniu is organized into multiple business units such as Ambient, Chilled, Ice Cream, and Fresh Milk. The Ambient Business Unit is the primary department where DingTalk Docs has been deployed and promoted.
  • Two questions matter most to Mengniu: how to leverage online documents to improve efficiency in high-frequency internal scenarios, and how to drive adoption across larger departments.

Case highlights

  • Cross-department collaboration: Use online Spreadsheets to efficiently manage and track cross-department project progress within the Ambient Business Unit.
  • Faster business review meetings: Use DingTalk Docs to manage business review meetings, dramatically reducing preparation time.
  • Driving tool adoption: The “Digital Capability Enhancement” program trains gold-medal instructors for efficiency tools across Mengniu, helping new tools take root.
  • Smart tools for cost reduction: AI Minutes replaces voice recorders, saving the Ambient Business Unit tens of thousands of yuan in annual voice recorder procurement costs.
Since the rollout of DingTalk Docs and related products, the number of users at Mengniu has more than doubled. The Ambient Business Unit is making deep use of products such as Knowledge Base, Docs, and Spreadsheet, with significant efficiency gains in scenarios like internal reporting, project management, and meeting organization.

Scenario 1: Use online Spreadsheets to efficiently manage and track cross-department project progress within the Ambient Business Unit

Pain point: Mengniu manages all key initiatives and major digital projects through OKRs. From kickoff to ongoing tracking, the project PMO collects data and progress on each sub-item via spreadsheets. The workload of offline communication, filling out forms and uploading them, and gathering and consolidating information from sub-items was enormous, and project management had not been fully digitized. Before using Spreadsheet
  • Excel files were created locally and then uploaded to DingTalk. Since project files were still stored locally, retrieval and information sharing were inconvenient.
  • Local spreadsheets in DingTalk only supported online editing, but the content of project spreadsheets could not be governed with granular permissions.
  • Sub-projects each kept their own progress spreadsheets, and consolidating sub-spreadsheets was tedious and time-consuming for the PMO.
After using Spreadsheet
  • Create DingTalk online Spreadsheets to manage projects, and store all related spreadsheets and documents in the project Knowledge Base for easy access and review by team members.
  • Use granular permission controls in online Spreadsheets to set dedicated input areas and access rights for each sub-project, keeping information collection unified while preserving separation.
  • One DingTalk Spreadsheet covers the entire progress tracking of a project. The PMO can @mention each contact directly in the Spreadsheet to gather information in one place, eliminating the time previously spent on consolidation.

Scenario 2: Use DingTalk Docs to manage business review meetings and dramatically reduce preparation time

Pain point: Meeting preparation at Mengniu used to take a long time. For the monthly business review of the Ambient Business Unit, the customer noted that “half the month was spent preparing for or attending meetings.” The mere mention of a meeting put everyone, from top to bottom, into “battle mode.” The most critical part of any meeting was preparing the materials, and a great deal of time was wasted polishing them. Before using DingTalk Docs
  • Meeting materials were prepared in PowerPoint, with enormous time spent on layout and slide design.
  • Gathering meeting materials was time-consuming and laborious.
After using DingTalk Docs
  • With DingTalk Docs, features such as columns, slide breaks, and presentation mode turn a document into a polished, PPT-quality deliverable, freeing employees from busywork and letting them focus on their core responsibilities. “Senior leadership reports are now done entirely in DingTalk Docs.”
  • With team templates and Knowledge Base templates in DingTalk Docs, meeting materials can be standardized, which improves both consistency and writing efficiency.
  • In DingTalk Docs, you can @mention different meeting participants so that all meeting materials are collected in one document.

Scenario 3: The “Digital Capability Enhancement” program trains gold-medal instructors for efficiency tools across Mengniu

Pain point: Mengniu is large, with many business units and a sizable workforce. Rolling out a tool and aligning upstream and downstream collaborators is challenging, yet collaboration tools only deliver efficiency gains when everyone works together. “The tool is great—but how do we roll it out? Are there proven experiences we can learn from?” These questions became a central concern for internal advocates of efficiency tools.
Before co-creation
  • Tool rollout was hampered by the large number of teams and complex collaboration relationships, making it hard to standardize on a single tool.
  • The rollout lacked a systematic method and proven experience.
After co-creation
  • Based on Mengniu’s pain points, DingTalk and Mengniu jointly designed a rollout program, sharing proven adoption practices and operational playbooks to create a “Digital Capability Enhancement Program” tailored to Mengniu.
  • Data-driven selection of seed users within the organization identifies potential advocates.
  • The enablement team leads by example and goes to the front lines to teach, shaping employees’ daily usage habits.
